When you book a private appointment with us we reserve that time for you, and in many cases prepare for it in advance. This policy sets out what you pay when you book, what happens if you need to change or cancel, and when fees are refunded.
NHS services are not charged for and this policy does not apply to them. We would still be grateful for as much notice as you can give if you cannot attend, so that the appointment can be offered to someone else.
Dental services are not covered by this policy.
The notice we ask for differs between services, because they reserve different amounts of clinical time. A pharmacy appointment holds a short slot and a £15 deposit. A clinic appointment with Dr Westwood holds a longer slot, is often prepared for in advance, and is paid for in full or by a larger deposit at booking.
Deposits are not refunded where an appointment is cancelled rather than moved. This covers administrative costs and the clinical time reserved for you.
For appointments booked on the same day, the £15 deposit secures the slot. If the appointment is then cancelled or not attended, the deposit is not refunded.
This covers ReGen by Medihub and Medihub Private GP consultations, assessments, treatments and procedures.
Where an appointment has already been moved once, a further change or cancellation at less than 72 hours’ notice is treated as a cancellation at short notice.
Please contact us in whichever way is easiest — we count the time you contact us, however you do it.
The WhatsApp number is for Private GP and ReGen appointments. For pharmacy services, please phone or email the branch.
If you are not sure which applies to you, use whichever is easiest and we will pass it on.
If you booked online and cannot find a way to change or cancel through the booking link, please don’t worry about it — message, phone or email us instead and we will do it for you. You will not lose your fee because the booking system was difficult to use.
If you arrive more than 10 minutes after your appointment time we may not be able to see you safely within the time remaining. Where that happens the appointment may need to be rebooked and will be treated as a change at short notice.
If we need to change or cancel your appointment we will contact you as soon as possible and offer you either a full refund or an alternative appointment at a time that suits you. No charge applies and no deposit is lost.
Where an assessment leads to a recommendation not to treat, the assessment fee is still payable. It covers the assessment itself — the examination, the diagnosis and the clinical opinion — and a recommendation not to treat is a legitimate outcome of that.
Where a patient repeatedly misses appointments without notice we may ask for the full cost to be paid at the time of booking, or decline further bookings. Any decision of this kind is confirmed in writing.
We understand that serious illness, bereavement and genuine emergencies happen at short notice. Where they do, please contact us — this policy is applied with discretion in those situations.
Refunds are made to the original payment method and are normally processed within 10 working days.
Nothing in this policy affects your statutory rights. Where you booked online you may have additional rights to cancel under consumer protection legislation, and this policy does not limit them.
